Student Records Specialist

The Office of Registrar is currently accepting applications to fill the position of Student Records Specialist.  This position will provide support and services primarily to current and former students related to their academic records.  This job also involves assisting faculty and advisors in the creation, usage and accurate maintenance of student academic records through the use of software and navigation of college policies. 

Duties and Responsibilities:

  • Daily student records services at counter, phone, fax and emails, including registrations, withdrawals, questions
  • Assist faculty, advisors and campus administrators with questions about academic records
  • Assistance for students, advisors and faculty using Lion's Den accounts
  • Record student changes to name, address or biographical data; Distribute handouts
  • Input of Emergency Contact Information
  • Create PINS and roles for new students
  • Enrollment verifications
  • Degree verifications
  • Support for students, advisors and faculty using degree audit in Lion's Den
  • Pull student files for readmit applications for Admissions
  • Provide copies of student records to Student Solution Center
  • Organizing and filing records (forms and folders)
  • Transcript request processing and maintenance of records; Timely transcript deposits (when Senior Students Records Specialist is out, or as assigned)
  • Scanning documents; Organizing archived materials online
  • Not Attending Reporting - Update records for students and notifications
  • Data entry for transfer coursework
  • Course Schedule and Room Booking duties as assigned: notifications to students for cancelled classes
  • Assist in projects related to data validation and legacy records
  • Handle Withdrawal From College Forms; record Re-Entry Approvals (when Senior Student Records Specialist is out, or as assigned)
  • National Student Clearinghouse data maintenance, as assigned (when Senior Student Records Specialist is out, or as assigned)
  • Assist with proof-reading and editing for catalog and publications (when Senior Student Records Specialist is out, or as assigned)
  • Process subpoena requests following notification to students and with clearance of the Molloy attorney (when Senior Student Records Specialist is out, or as assigned)
  • Verify professional certifications (licensing, boards and certifications) for Registrar approval: Maintain copies (when Senior Student Records Specialist is out, or as assigned)
  • Understand the college catalog particularly academic policy and degree requirements
  • Understand and follow FERPA policy to protect student privacy rights
  • Evening hours required, as well as an extended additional work hours for registration events throughout the year
  • Other duties as assigned 

Desired Minimum Qualifications:

  • Bachelor's degree preferred
  • Two or more years working in an academic institution with related experience 
  • Communication and customer service skills are of the highest importance
  • Writing and proof-reading skills
  • Accuracy for data entry
  • Organizational skills and the ability to work independently
  • Knowledg of Excel and Microsoft Word
