Reportd To: Assistant Treasurer (Primary); Treasurer (Secondary)
Significant Responsibilities:
1. Assist in the verification of the compliance to policies, procedures and internal controls, including, but not limited to the following:
a. Student registering for classes with past-due balances.
b. Effects of new accounting pronouncements on financial reporting.
c. Debt compliance.
2. Prepare monthly contribution reconciliation with Advancement (point recommended by outside auditors).
3. For grants the College applies for and receives: ensure proper recording of transactions and compliance with grant documents, including (a) donor intent; (b) spending level for scholarships and expenses; and (c) reporting issues.
a. Ensure that billings to funding sources and the recording of related revenue, is done timely and accurately.
b. Prepare on-line year-end reports as required by funding source (e.g. HRSA).
4. Prepare account analyses and schedules for various balance sheet accounts.
5. Assist in the preparation of the annual operating, capital, and five-year rolling budgets as requested by the Treasurer or Assistant Treasurer.
a. Review and enter all budget transfer requests.
b. Prepare and monitor expense control schedule for all departments. Produce variance reports of significant variances for review by the Treasurer and Assistant Treasurer.
c. Analyze, by person within each department, the budget vs. actual for all payroll expense codes.
6. On a weekly basis, review the reconciliations done by the one-card administrator of all transactions affecting students using the one-card system (frequency may be changed after the system has been introduced). Ensure that all transactions have been properly recorded in the general ledger.
a. Sales transactions with food service provider. Ensure proper payment to vendor.
b. Sales transactions with book store. Ensure proper payment to vendor.
c. Sales transactions with other vendors if applicable. Ensure proper payment to vendor.
d. Cash entered by student on one-card.
7. Assist with internal and external financial inquiries.
8. Review general ledger input for accuracy.
9. Prepare and enter journal entries.
10. Assist in the preparation of quarterly financial statements and year-end projections as requested by the Assistant Treasurer or Treasurer.
11. Assist in the preparation of information required by the bond documents as requested by the Assistant Treasurer or Treasurer.
12. Assist with year-end audit. Work closely with the Assistant Treasurer to ensure financial statements are prepared in accordance with GAAP, ensuring that any new applicable accounting pronouncements are properly disclosed.
13. Perform special projects, analyses, and tasks are requested by the Treasurer or Assistant Treasurer.
14. In the absence of the Assistant Treasurer, be able to perform certain functions as required by departmental needs, including, but not limited to, attend committee meetings; determine near-term cash needs; respond to other department requests or problems; supervise the staff as needed.
Required Skills and Abilities:
1. Strong financial analytical skills and the ability to work independently.
2. Must possess the mentality of an internal auditor always conveying an atmosphere of professional skepticism.
3. Prior experience in preparing financial statements, including the notes to the financial statements. Experience in the preparation of the Form 990 would be helpful.
Qualifications:
1. Excellent PC skills and proficiency in excel and word.
2. Exposure to general ledger systems, report generators, and payroll systems (especially ADP) are required.
3. Knowledge of Jenzabar/Info Maker would be a major plus. Knowledge of report writer systems (SQL, Crystal, FRx) would be a major plus.
4. Excellent communication and customer service skills.
Education:
1. BS in Accounting from a reputable institution of higher learning.
2. Prior audit experience preferred.
3. A minimum of five years of financial accounting experience. Experience in higher education and/or not for profit organizations would be considered a plus.
